Last updated: March 2026

Easyinvite ("we", "us", "our") attaches great importance to the protection of your personal data and that of your guests. This privacy policy describes how we collect, use, store, and protect data when you use our services.

1. Who are we?

Easyinvite is an online platform that allows you to send invitations, reminders, questionnaires, and photo books for events. We are the data controller for the personal data processed through our platform. For questions about this privacy policy, you can contact us via the contact form on our website.

2. What data do we collect?

When you create an account or organize an event, we collect the following data: name and email address of the organizer, names and email addresses of invited guests, event details such as date, location, and event type, responses to questionnaires and RSVP replies, and uploaded photos in the photo book. Additionally, we collect technical data such as IP address, browser type, and device information for the operation and security of our service.

3. What do we use your data for?

We process your personal data for the following purposes: creating and managing your account, sending invitations and reminders to your guests, processing RSVP responses and questionnaires, offering AI-powered features such as text suggestions, processing payments and credit purchases, and improving our services. We never use your data for commercial purposes of third parties.

4. Legal basis

We process personal data based on the following legal grounds in accordance with the GDPR: consent — when you create an account or invite guests, you actively consent to the processing of the relevant data; performance of a contract — the processing is necessary to provide our services to you; legitimate interest — for improving our services and ensuring the security of our platform.

5. Sharing with third parties

Easyinvite only shares your personal data with carefully selected and certified parties that are necessary for our services. This includes: payment processors for handling transactions, email services for sending invitations and reminders, and hosting parties for data storage. We have data processing agreements in place with all these parties. We never sell your data to third parties and do not use it for advertising purposes.

6. Security and storage

The protection of your data is our highest priority. All data is stored on secure European servers and processed by certified partners that meet the strictest security standards. We use SSL/TLS encryption for all data transfers, encrypted storage of sensitive data, regular security audits and penetration tests, and strict access controls for our employees. We exclusively work with ISO 27001-certified hosting partners within the European Union.

7. Retention periods

We do not retain your personal data longer than necessary for the purposes for which it was collected. Account data is retained for as long as you have an active account and up to 12 months after closing your account. Event data and guest information is retained until 6 months after the event, unless you request earlier deletion. Payment data is retained in accordance with the statutory retention obligation of 7 years. After the retention period expires, data is securely and permanently deleted.

8. Your rights

Under the GDPR, you have the following rights regarding your personal data: right of access — you can request which data we process about you; right to rectification — you can have incorrect data corrected; right to erasure — you can request deletion of your data; right to restriction — you can have the processing of your data restricted; right to data portability — you can receive your data in a common format; right to object — you can object to the processing of your data. You can exercise these rights by contacting us via the contact form on our website or by sending an email. We will respond to your request within 30 days.
